Job Description
General description:
The Administrative Assistant I provides administrative support to ensure efficient operation of the office.
He/She supports the Head of Internal Operations and Team members through a variety of tasks related to organization, communication, recordkeeping and process flows.
The Administrative Assistants works on a variety of fields which may include Front Desk, Reservations, Property & Inventory, Bookkeeping and Finance-related responsibilities.
Duties and Responsibilities:
- Maintains appropriate filing system including but not limited to productivity reports, attendance, receipts, employee records, etc.;
- Answers phone calls, organizes and schedules meetings and assists visitors;
- Maintains supplies inventory, anticipating needed supplies, and placing orders for supplies;
- Performs field work and acts as runner for tasks related to government offices, banks, bills payments, suppliers, etc.
- Provides other administrative support to ensure efficient operations in the office;
- Assists in preparation of regularly scheduled reports;
- Takes accurate minutes of the meetings;
- Maintains up-to-date employee records and requests
Minimum Qualification Standards:
- Bachelor’s/College Degree in Human Resources, Business Studies/Administration.
- Proven experience as Administrative Assistant or with relevant experience in clerical work
- Proficiency in Emails, Google Suite, and MS Office (Word, Excel, and PowerPoint in particular)
- Excellent written and verbal English communication skills (Mandarin is an advantage).
- Excellent time-management, organization, and problem-solving skills.
