Job Description

Position Overview:
We are seeking a versatile and dedicated Project Coordinator with a background in Graphic Design to manage our typesetting and Desktop Publishing (DTP) projects. This unique role requires a professional who can both coordinate intricate project details and contribute to minor design correction tasks as needed. The role is anticipated to be split with an emphasis on project coordination (approximately 90%) with minor design responsibilities making up the remainder (approximately 10%).

Duties & Responsibilities:

Project Management:
· Coordinate project management activities, resources, project samples, and working materials.
· Break projects into achievable milestones, set timeframes, and update project management systems daily, including those from clients.
· Act as the primary liaison between internal customers in both Manila and Hong Kong to identify and define project requirements, scope, and objectives.
· Assign tasks to internal teams and manage schedules via RPS (resource planning sheet).
· Ensure clients' needs are met as projects evolve, reporting on project progress, and handle any emerging issues.
· Provide project invoices and reports, and handle sudden capacity changes, such as new client requests or staff leaves.

Design & Typesetting:
· Collaborate with the coordination and production teams to develop instruction manuals and other technical documentation of products in compliance with strict guidelines.
· On an as-needed basis, support typesetters by making minor and well-guided amendments to instruction manuals using Adobe InDesign or Illustrator software.

Team Collaboration & Leadership:
· Assist team leader with ad-hoc tasks.
· Communicate company workflows/guidelines to team members
· Address team/project feedback, finding efficient solutions to project issues.
· Analyse any project claims and handle CAPA reporting.

Requirements:
· 3+ years of relevant work experience in project coordination.
· 1+ years of typesetting experience; familiarity with the printing industry is a plus.
· Diploma or higher in a related discipline, PMP certificate is an advantage.
· Familiarity with Adobe Illustrator, Photoshop, InDesign.
· Fluent in English.
· Detail-minded, self-motivated, with a willingness to adapt to a fast-paced work culture.
· Familiarity with on-market project management or collaboration tools: Smartsheet, Miro, Monday, JIRA, etc.
· Strong communication, organization, and team collaboration skills.
. Ability to handle multiple projects under pressure.
