Junior Virtual Assistant

About Us

We are a start-up automotive business based in Hong Kong that is dedicated to promoting electric mobility solutions. We are seeking a highly organized and proactive Virtual Assistant to join our team. As a Virtual Assistant, you will provide comprehensive administrative support to our team remotely. This position requires excellent communication skills, strong organizational abilities, and the ability to work independently.


Job Summary

We are looking for a detail-oriented and reliable Virtual Assistant to assist in managing various administrative tasks remotely. The Virtual Assistant will play a crucial role in ensuring smooth operations, effective communication, and efficient workflow within the organization. This position requires a high level of professionalism, confidentiality, and the ability to handle multiple tasks with minimal supervision.

Responsibilities

Administrative Support:
• Organize and maintain electronic files, documents, and databases.
• Prepare reports, presentations, and correspondence as needed.
• Respond to emails professionally and arrange them according to priority.
• Provide customer service as the first point of contact.
• Manage contact lists and organize Managers’ calendars.
• Regular research on the latest trends, competition, and events that are significant to the company.
• Attend regular meetings, take down minutes of the meeting, and cascade them to the team in a detailed manner.

• Conduct market research and report on the results.

Data Management:
• Perform data entry, data cleansing, and data organization tasks.
• Maintain and update databases, ensuring accuracy and completeness.
• Generate reports and analyze data to support decision-making processes.
• Data Entry and working with applications like Google Sheets, ClickUp, and Dear Inventory.
• File Management - Organize, and rename files and folders.

Workflow management:
• Assist in managing numerous projects at once.
• Consistently create standard operating procedures for directions in executing tasks.
• Other ad hoc tasks.

Qualifications


• Minimum of one (1) year of experience as a Virtual Assistant.
• Excellent English written and verbal communication skills.
• A Bachelor’s degree in Engineering, Information Technology, Computer Science, Business Management, or a related field.
• High-level organizational & follow-up skills.
• Embraces change and enjoys iterations.
• Up to date with the latest technical software, project management tools (e.g. ClickUp, Airtable), and many more.
• Ability to manage a calendar and schedule appointments.
• Strong time management skills and the ability to multitask.
• Ability to work in a fast-paced environment.
