Job Description

We are looking for an Administrative Officer to join our team and support our daily office procedures. In this role, you will be providing an administrative support to the organization. The duties include:



  • Recruiting, training and supervising junior staff and delegating work as required.
  • Involved with the coordination and implementation of office procedures and frequently has responsibility for specific projects and tasks, also oversees and supervises the work of junior staff.
  • Organizing and maintaining company records, spreadsheets and databases.
  • Fill-in low level management decision making in absence of superior personnel.
  • Act as the point of contact for all employees, providing administrative support and managing their queries.
  • Update office policies as needed.
  • Distribute and store correspondence (e.g. letters, emails and packages).
  • Do researches as required.
  • Prepare reports and presentations with statistical data, as assigned
  • Organize a filing system for important and confidential company documents.
  • Preparing, maintain and reporting regular reports (financial and administrative).
  • Manages the clerical and administrative support to the staff.
  • Dealing with telephone and email inquiries.
  • Arranging meetings and appointments and organizing travel for staff.
  • Ordering and maintaining inventory of office supplies and equipment.
  • Liaising with staff in other departments and with external contacts.
  • Sorting and distributing incoming post and organizing and sending outgoing post.
  • Liaising with colleagues and external contacts to book travel and accommodation.
  • Organizing and storing paperwork, documents and computer-based information.
  • Photocopying and printing various documents, sometimes on behalf of other colleagues.
  • Arranging both in-house and external events.
  • Basic customer service activities including follow up phone calls and appointment setting.
  • Attending functions and networking events, meeting other executives and affiliates.
  • Basic duties outside the office like delivering materials, picking up documents/supplies, etc.
  • Maintain a company calendar and schedule appointments.
  • Book meeting rooms as required.


Your role varies greatly depending on the specific needs of the company operations at any given time. Most work involves:

  • demonstrate high-level proficiencies and time/asset management abilities.



  • With proven work experience as an Administrative Officer, Administrator or similar role.
  • Knowledgeable in using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, etc., to produce correspondence and documents.
  • With solid knowledge of office procedures.
  • Has a strong organization skills with a problem-solving attitude.
  • Has an excellent written and verbal communication skills.
  • Attention to detail.
  • Can handle tight deadlines and pressure.
  • Has leadership skills.
  • Has effective analytical and decision-making skills.
  • Has basic project management skills; ability to prioritize and handle multiple tasks and projects concurrently.
  • Has working knowledge of office equipment and office management tools.



  • Graduate of Bachelor of Science in Business Administration and Management, General Business/ Commerce, Marketing, or any related course.
  • MUST have at least 2-year of experience as an Administrative Office or related field.
  • MUST be comfortable working in an IT-driven environment.
  • Willing to work in Ortigas Center, Pasig City.
